Every host admin knows this manual task: take a list of accepted entries, split them roughly evenly across rotations, try to keep each club's gymnasts together so parents aren't running between halls, and then number everyone in order. Done on paper or in a spreadsheet, it's slow, fiddly to change your mind about, and easy to get unevenly balanced without realising until the day.

Hit Suggest arrangement and every unarranged gymnast in the round is distributed across rotations automatically — largest club groups placed first, each whole club kept together in one rotation wherever the numbers allow, rotations balanced to roughly equal size. It's a starting point you can see and immediately override, not a black box.

Drag a gymnast between columns to move them to a different rotation. Drag up or down within a column to reorder — that order becomes their position in the running order, and later, their bib number. Every drop saves immediately; there's no separate save button and nothing to lose if you navigate away mid-adjustment.
If one club is too big to fit in a single rotation without unbalancing the others, the builder splits their block evenly across rotations and tells you it's done that — so you can reconsolidate by hand if you'd rather have an uneven split than a divided club.
Bibs, assigned in one pass — once you're happy
Bib numbers are no longer something you type in gymnast-by-gymnast as entries arrive. They're derived from the running order you've just built: Round 1, Rotation 1's first gymnast gets Bib 1, on through the rest of Rotation 1, then Rotation 2, and so on. Pick a starting number, optionally reserve a few spare numbers for late arrivals, and preview the whole mapping before anything is written.

- Accept entries — manually, via CSV import, or through club self-submission. Bib numbers are optional at this stage; entries can sit fully accepted with no number for as long as you want.
- Assign each level/age band to a round — the existing grid, unchanged. This step already worked well; nothing new here.
- Open the Running Order Builder, hit Suggest arrangement, drag to fine-tune.
- Commit & Assign Bibs — preview the mapping, pick a starting number, confirm. Every bib in scope is written in one safe pass.
Already planned it in a spreadsheet? Skip the builder entirely
If you've already worked out your whole running order offline, the CSV import template now accepts optional round, rotation, and position columns alongside the usual entry fields. Fill them in and your entries land exactly where you planned — bibs included if you want them assigned at import too. The in-app builder is there for when you want to plan interactively, not a mandatory extra step.
Nothing locks you in early
Entries can stay unbibbed through the entire planning phase. Rearrange rotations as many times as you like before committing — nothing is final until you choose to commit bibs.
A safety net before going live
ChalkItUp won't let a competition go live with any gymnast still missing a bib — you'll get a clear count and a direct link back to Entries if anyone's been missed.
Bibs lock once scoring starts. The Running Order Builder and bulk bib reassignment are both disabled the instant a single score exists anywhere in the competition — protecting results integrity on the day. Individual bib edits (for a genuine late arrival) stay available throughout, using one of your reserved spare numbers.
